Each of Toyota Motor Sales, U.S.A., Inc., Gulf States Toyota, Inc., and Southeast Toyota Distributors LLC offers all of their respective Toyota dealers the opportunity to participate in the Toyota Fleet Service Advantage (TFSA) Program. The TFSA Program offers a streamlined service process to dealers for their fleet customers that integrates the ability to seamlessly interact with multiple Fleet Management Companies (FMCs).

TFSA Dealer Advantages:

  1. TFSA dealers will utilize a streamlined online repair order (RO) authorization interface and consolidated billing process with FMCs.
  2. TFSA dealers do not pay any fees to enroll in the TFSA Program.
  3. TFSA dealers will be included in the service provider network for FMCs that fleet customers use to provide additional opportunities for customer pay repair order (CPRO) growth.
  4. Fleet.Toyota.com will publish and distribute a National “Toyota Fleet Service Advantage” Dealer Listing.
  5. Fleet.Toyota.com will provide FMCs with the ability to search by TFSA Dealers.
  6. Payment for FMC-approved and completed repairs will be made directly to the TFSA dealer’s bank account via ACH supported by MyFleetCenter.
  7. OEConnection and MyFleetCenter support personnel will assist with training, payment, RO processing, and dispute resolution for TFSA Dealers.

TFSA Process Summary:

  1. The TFSA Program is only applicable to CPRO fleet vehicles in the continental United States and Alaska.
  2. TFSA enrollment will not be complete until an enrolling dealer signs all applicable forms and agreements with OEConnection and MyFleetCenter.
  3. Roles of the TFSA Program parties:
    1. OEConnection: OEConnection facilitates TFSA dealer enrollment, providing TFSA dealer training and support with respect to the TFSA Program.
    2. MyFleetCenter: MyFleetCenter, also known as Sound Billing, LLC, provides the billing interface that facilitates payment processing between FMCs, fleet customers and TFSA dealers.
    3. AutoIntegrate: AutoIntegrate provides the RO management interface. The interface also includes a feature for FMCs to approve multi-point inspection (MPI) add-on services.
    4. Fleet Management Companies: The FMCs act as liaisons for the fleet customers.
  4. RO payment process:
    1. TFSA dealer ROs must be in a completed status under AutoIntegrate at the amount approved by the FMC. All completed ROs are submitted to the FMC for payment.
    2. FMCs pay MyFleetCenter for all completed ROs, less the discount set forth below in Section 4(e)(i).
    3. MyFleetCenter will endeavor to remit weekly net payments to the TFSA dealer’s bank account each Friday. Please note this is fully dependent on the payment processing time of each FMC, which can vary.
    4. Please note that each fleet CPRO that is processed and approved through the TFSA Program will be subject to a maximum customer discount of 13.5%.
    5. The total TFSA Program fee is made up of:
      1. 9% FMC discount applied to parts and labor excluding shop supplies, state inspections, state emissions, taxes, part core charges and other government fees,
      2. 2.5% MyFleetCenter processing fee applied to the total invoice, and
      3. 2% OEC program fee applied to the total invoice excluding taxes (capped at $30).
  5. Each TFSA dealer may decide to end participation in the TFSA Program at any time by providing at least thirty (30) days’ prior written notice to Toyota Motor Sales, U.S.A., Inc.

TFSA Dealer Terms – By enrolling in the TFSA Program, you agree to all of the following on behalf of your dealership identified below (“Dealer”):

  1. Dealer will treat every fleet customer as any other retail customer would be treated – The Toyota Way.
  2. Dealer fully understands that it is solely responsible for compliance with the terms of any agreement between the Dealer and OEConnection, MyFleetCenter or any other third party in connection with the TFSA Program. Dealer fully understands that it is solely responsible for, and bears all risk with respect to, its inability to meet any contractual commitment in such agreements with OEConnection, MyFleetCenter or other third parties in connection with the TFSA Program.
  3. If Dealer has entered into separate agreements with any FMCs participating in the TFSA Program with respect to discounts on vehicle service, such separate agreements are deemed void.
  4. To participate as a TFSA dealer, Dealer must acknowledge and abide by the guidelines set forth in the Toyota Fleet Policy and Procedures as may be updated from time to time.
  5. Dealer will abide by each FMC’s service policy. This includes obtaining approval/authorization from the FMC through the platform before any repair work is started on the vehicle.
  6. Dealer will not charge for storage fees for any vehicles in the process of evaluation and/or repair for a period of up to thirty (30) days.
  7. Dealer will refrain from delaying the release of a vehicle to a driver as a result of any program or billing dispute. Vehicles will be repaired and promptly released to the fleet customer after receiving authorization from the FMC.
